This is the agreement between REGRA Digital Business LLC ("REGRA", "we", "us") and the business that uses REGRA Pilot ("you", "your business").
It is written in plain language on purpose. It says what the service does, what it deliberately does not do, what each side is responsible for, and how either side can end it. Where we had to choose between sounding solid and being honest, we chose honest.
1. Who is who
- REGRA operates REGRA Pilot at app.regrapilot.com.
- Payments may be collected in Brazil under the name REGRA Negócios Digitais. That is the name you may see on your card statement or PayPal receipt.
- "You" is the business that holds an account.
- "Your customer" is the person who fills in your form, receives your quote, or books a time with you. Your customer never has an account here and is not a party to this agreement — their relationship is with you.
- By creating an account or using the service, you accept this agreement and confirm that you are authorised to accept it on behalf of your business.
2. REGRA Pilot is a pilot, and we say so
The service is early. Screens, names and features can change, and something you use today may be replaced by something better tomorrow. If we intend to remove a feature you rely on, we will tell you first.
Because of that, do not make REGRA Pilot the only place a legal or accounting obligation lives. Keep your own copies of anything you must be able to produce later.
3. What REGRA Pilot does
- Collects enquiries from a form you put on your website, or from a link you send.
- Notifies you when one arrives, and can send an automatic acknowledgement to the person who wrote in.
- Measures how long you take to answer, and shows what is still waiting.
- Keeps your leads, your pipeline, your appointments, your invoices and your price book in one place.
- Builds a quote, estimate or proposal document with your logo, your colour, your line items, your terms and your payment instructions, at a private web address you send to your customer.
- Records the name, date and time when your customer accepts that document.
4. What REGRA Pilot does NOT do
Read this section before you promise anything to a customer. Every line here is a deliberate limit, not an oversight.
- It does not process payments. It never touches, holds, transfers or refunds your money. It displays the payment instructions you wrote. Money moves from your customer directly to you, by whatever means you already use.
- It does not know whether you were paid. Marking an invoice as paid is something a person does by hand.
- It does not issue tax invoices, receipts, fiscal documents or notas fiscais. What it produces are commercial documents. Your accounting system remains your system of record.
- It is not accounting software. It calculates no tax of any kind.
- It does not guarantee that an email arrives. Email can be delayed, filed as spam, or refused by the recipient's provider. When the message matters, follow it up by phone.
- It does not send SMS or WhatsApp messages. There is no mobile app and no push notification.
- It does not sign contracts. The acceptance record shows that someone opened a private address and clicked accept, at a time, from an IP address. It is evidence, and useful evidence, but it is not a qualified electronic signature and we make no claim about how any particular court would treat it.
- It does not show a visitor your real availability. A time a visitor suggests is a request, not a confirmed booking.
- It does not turn an accepted quote into an invoice on its own. You do that.
- It does not generate PDF files. The document is printed or saved as PDF from the browser.
- It does not connect to Booksy, Mindbody, QuickBooks, Google Calendar, Stripe, PayPal, or any other outside system.
- It is not a CRM, and it is not trying to become one.
- It has no backup of its own beyond what our host keeps. See section 10.
- It is not certified against PCI-DSS, HIPAA, SOC 2 or any comparable standard. Never type card numbers, bank passwords, social security numbers or health records into it.
5. Price
- During the pilot the price is $0. No card is stored, because there is nothing to charge.
- If a price is introduced, we will tell you in writing at least 30 days beforehand, and you decide whether to continue. Nothing is ever charged without your explicit agreement.
- What your customers pay you is not our business. REGRA takes no percentage of your sales, and never will under this agreement.
6. Your account and your password
- You choose the password. We store only a cryptographic hash of it, so we cannot read it and cannot tell it to you — we can only help you set a new one.
- You are responsible for who you give access to. Everyone with a login inside your account can see your account's data.
- Tell us as soon as you suspect someone has your password.
- One account belongs to one business. The system separates each business's data on every single query it makes.
7. Your data is yours
- Everything you and your customers put into the service belongs to you. We claim no ownership of it.
- We do not sell it, rent it, or use it to train any model.
- We look at it only to help you when you ask, to fix a fault, or to comply with a legal obligation. That access is recorded in the history log.
- We do not use your customers' details to market anything to them, ever.
8. Your customers' data — and who answers for it
This section matters more than it looks. When your customer fills in your form, you are the one who decided what to ask and why. In data protection language you are the controller and REGRA is the processor, acting on your instructions.
- The privacy notice your website visitors read is yours to write. We cannot write it for you, because only you know what else your website does.
- If a customer asks to see or delete what you hold about them, that request is yours to answer. We will help you find or delete the record.
- Only collect what you actually need in order to quote and deliver the job.
- What the service stores about your customer: the name and contact details they typed, what they asked for, which page they came from, and — if they accept a document — the date, time and IP address of that acceptance. The IP address is kept precisely because it is what makes the acceptance provable.
9. Where it runs, and security
- The service runs on infrastructure rented from Hostinger. All traffic travels over HTTPS.
- Passwords are hashed with bcrypt. Public documents are reachable only through a long random address that is not listed or indexed anywhere.
- Uploaded images are checked by their actual file signature, and SVG files are refused because they can carry executable code.
- No system is perfectly secure. If a breach affects your data, we will tell you what we know as soon as we know it, without waiting until we have every answer.
10. Backups, and getting your data out
- We rely on the backups our hosting provider keeps. We do not promise that any specific piece of data can be restored.
- There is no export button yet. Ask us and we will send your leads, quotes and invoices as a spreadsheet within 30 days, at no charge — including after you have left.
- Print or save anything you are required to keep for a long time. This is the practical consequence of the two lines above.
11. Availability
- There is no uptime guarantee and no service level agreement during the pilot.
- The service can be unavailable during maintenance, and an update may sign everyone out. Signing back in is enough.
- We do not promise the service is free of faults. When you find one, tell us — that is what a pilot is for.
12. How you may not use it
- Not for anything unlawful, and not to send messages to people who did not ask to hear from you.
- Not for content that is deceptive, discriminatory or harassing.
- Do not upload a logo or an image you do not have the right to use.
- Do not attempt to reach another business's data, to break the system, or to drive automated mass requests through it.
- We may suspend an account that does these things, and we will tell you why.
13. Ending the agreement
- You can stop at any time. Ask, and we close and delete the account.
- We can end it by giving you 30 days' notice. For the misuse described in section 12, we can end it immediately.
- After it ends, your data stays available to you for 30 days and is then deleted. Tell us if you would rather it were deleted straight away.
14. Responsibility — what we answer for, and what we do not
- We answer for operating the service with reasonable care and for the promises made in this document.
- We do not answer for lost profit, a job you did not win, an email a customer never received, or a decision you took based on a number the system displayed. The service is a tool. The business is yours.
- To the extent the law allows a limit, our total liability is capped at the amount you paid us in the previous twelve months — which, during the pilot, is zero. That is not a trick. It is the honest consequence of a service given at no charge, and it is exactly why section 10 asks you to keep your own copies.
- Nothing in this agreement limits any liability that the law does not permit to be limited.
15. Changes to this document
- We may change these terms. The version number and date are at the top of this page.
- For a material change we will give you 30 days' notice by email and show a notice in the panel.
- If you do not agree with a change, stop using the service before it takes effect. That is your remedy, and there is no charge or penalty for leaving.
16. Law and contact
- This agreement is governed by the law of Florida, USA.
- If something goes wrong, write to us first and let us try to put it right. hello@regrapilot.com
